Community Roles & Responsibiliies

 

The following is an executive level outline of the steps and stages of the creation, rollout, and support of the community list collaborative.

  • Member Recruitment and Program Launch.
    • Launch date: TBD by TRG and managing partner
  • Data Collection.
    • Required training on data submission for members
    • Data due date: TBD by TRG and partner
  • Build of community database.
    • All data run through National Change of Address (NCOA) and each organization receives their NCOA corrected and bad address files for internal use
    • All data processed to ensure consistency and quality control
    • Segment inventories sent to members for a final review of their data
    • Data loaded into eMerge for use by members
    • eMerge live date: TBD by TRG and partner
  • In-person training of members.
    • Overview of eMerge with tactical training on how to pull mailing lists, facilitate trades, and manage data within the system
    • Specific professional development workshops focusing on maximizing users’ benefits of eMerge and the community list collaborative
    • Dates: TBD by TRG and partner

 

Community Partner Program Responsibilities

  • Member recruitment, including notification of program details and deadlines, collection of member organization information, communicating member responsibilities, and providing a list of registered members to TRG
  • Community organization, including identifying funding sources in support of community initiatives, and general administrative functions
  • Professional Development coordination, including securing space for in-person trainings, member notification, and coordination of schedules
  • Assisting and identifying key prospects within the community for TRG. Recognition of TRG Arts by name and logo in any community program or activity that promotes, showcases, or utilizes the community database
The Community Partner agrees to:
  • Allow TRG courtesy review (24 hours turnaround time) of any news release, announcement or web posting about the community program
  • Obtain from TRG its approved corporate logo artwork
  • Invite TRG to participate in any community activity related to the community program, such as (but not limited to) professional development, membership meetings, recruitment programs
  • Grant TRG the right to publish or post news about the community program in TRG literature and web site postings

 

Community Member Responsibilities

As a member of the community program, each member organization is responsible to do all of the following prior to receiving access to eMerge:

  • Complete the membership questionnaire and agreement form
  • Complete the PAF, a USPS required form which allows TRG to perform National Change of Address (NCOA)
  • Attend a data submission demonstration
  • Submit data in the required format by the data due date
  • Review segment inventories sent by TRG to ensure accuracy in their list submission prior to posting in eMerge
  • Attend an eMerge basic training session to ensure understanding of the system’s functionality
  • Be responsive in a timely fashion to list exchange requests received from other members of the community
